WHAT:

Herein, we explain how we handle your personal data, what your rights are, how you can enforce them, etc.

USED TERMS:

Personal Data: As per GDPR/AVG, this refers to all information that could directly or indirectly identify a natural person. Referred to as “data.” This does NOT include company data!! Processing: Collecting, recording, organizing, structuring, storing, updating, modifying, retrieving, consulting, using, transmitting, distributing, or making available by other means, aligning or combining, shielding, erasing, or destroying data. WHAT: We process the following personal data from you:

Name, address, phone number and/or mobile number, and email address. These data have come to us through:

Your provision of them during or prior to a personal conversation.

For job applications: CV, cover letter, and obtained diplomas. When fulfilling an assignment, access will be granted to all systems where personal data may have been stored. The DPO’s code of ethics falls under professional confidentiality. The DPO does not make copies of data. We do not collect data in any other way.

PURPOSE:

We do this in order to get in touch with you or maintain contact regarding provided services, following up on delivered services, or being able to answer all your queries. This constitutes a pre-contractual or contractual relationship.

If, exceptionally, we do receive other private personal data from you, it will only be used for one specific purpose and will be stored temporarily.

RETENTION:

We will retain your data as long as you use our internet application and as long as we need your personal data to offer you a specific service.

More specifically:

Commercial books: 7 years in original or electronic form, with the retention period starting from January 1 of the year following the closing of the fiscal year. We follow Article III.86 of the Economic Code and Article 9 of the Royal Decree of 12/09/1983 for the implementation of the law of 17/07/1975 on accounting for our company. Justifying documents: 7 years in original or electronic form, with the retention period starting from the closure of the fiscal year. We follow Article II.86 of the Economic Code. Documents not serving as evidence against third parties: 3 years in original or copy form, with Article III.86 of the Economic Code applying. Personnel data is retained for 5 years after leaving the company. CVs and Cover Letters: 1 year.

SECURITY:

For this processing, we take appropriate technical and organizational measures to protect your data optimally, considering the nature of the data and associated risks. We do not store sensitive personal data, and we have the following measures in place for data security:

Computers used for data processing are secured with standard usernames and strong passwords. All computers are equipped with Small Office Security solutions, which are kept up-to-date and perform regular scans. Windows installations receive automatic updates. The installation is checked at least once a month and potentially started manually. Data is stored on a portion of the drive set up as a “data vault.” This area is encrypted and can only be accessed after starting the computer + logging into Windows + opening a password vault. To prevent data loss in case of computer loss, we perform daily backups to an encrypted cloud environment and a NAS Backup. All passwords are managed and stored in the cloud environment. Our employees are fully informed about handling your personal data securely and are bound by confidentiality agreements in their employment contracts. No paper records are kept due to the possibility of online registration, and they are not accessible to unauthorized individuals. Past experiences have taught us that no risk is completely avoided. If we become aware of unauthorized access to our IT systems or unlawful modification, damage, or potential loss of your data, we will take immediate measures to minimize and prevent this risk. This will also minimize potential damage to you.

MARKETING PURPOSES. CLICK BEHAVIOR AND VISIT DATA

General visitor data is tracked on our company’s website. This includes the IP address of your computer, any usernames, the time of retrieval, and data sent by a visitor’s browser, which is recorded for statistical analysis of website visit and click behavior. We also use this to optimize the website’s functioning. We strive to anonymize this data as much as possible. This data is never provided to third parties.

GOOGLE ANALYTICS

Our website uses Google Analytics to track how visitors use our website and the effectiveness of our AdWords advertisements on Google search result pages. The obtained information, including your computer’s IP address, is transferred to and stored by Google on servers in Ireland, Dublin. Read Google’s privacy policy for more information, as well as the specific privacy policy of Google Analytics.

Google uses this information to track how our website is used, to provide reports about the website to us, and to offer advertisers information about the effectiveness of their campaigns. Google may provide this information to third parties if legally required or if these third parties process the information on behalf of Google. We have no control over this. We have not allowed Google to use the obtained analytics information for other Google services.

FACEBOOK, INSTAGRAM, AND LINKEDIN

Buttons are included on our website to promote or share pages on social networks such as Facebook, Instagram, Twitter, and LinkedIn. These buttons are realized through code provided by the social media channels themselves. This code, among other things, places a cookie (see above).

Please read the privacy policies of these social networks (which may change regularly) to see what they do with the personal data they process through this code.

NEWSLETTER

We offer a newsletter with which we want to inform interested parties about news, our services, and related matters. Your email address will only be added to the subscriber list with your explicit permission. Each newsletter contains a link to unsubscribe. The newsletter subscriber list is not provided to third parties.

CONTACT FORM

Want to fill out the contact form on our website? Normally, we use email to communicate with you.

USE OF COOKIES

When offering electronic services, we use cookies. A cookie is a simple small file that is sent along with pages of this website and stored by your browser on the hard drive of your computer. We use cookies to remember your settings and preferences when you click “Agree.” According to privacy-by-design, analytical cookies are set to off by default. TRANSFER:

We transfer your information to the following parties and for the purposes listed below;

The accountant to meet our legal accounting requirements;
For employees: The social secretariat for the purpose of wage calculation;
The supplier of this application for the purpose of ensuring the security and operation of this internet application.
P.S. This is only your general personal data and will not be passed on to organizations and or individuals for marketing purposes.

For other parties, we will only do so with your express permission or on your behalf.

We conclude processing agreements with the parties mentioned above which stipulate that they must also comply with the GDPR/AVG guidelines.

At all times we will ensure that your personal data will NOT be stored outside the EEA without a solid guarantee from any parties involved, that they too fully comply with GDPR/AVG legislation.

YOUR RIGHTS:

The following is a list of your rights regarding the processing of your personal data, whether they are/are applicable and how you may assert them:

Inspection: You have the right to request access to what data we hold about you and should there be any errors or omissions, request rectification, completion and even deletion. Art. 12-13-14
Right of rectification: Art. 15 You have the right to amend your personal data.
Attention: If you request deletion this can only be carried out provided we no longer need your data for reasons other than those cited in our purpose description point 3.
Think especially about tax and social legislation.

Transferability: If you wish to change service providers, we will transfer your personal data in a standard digitally readable format, to the new organization. Art. 19
Objection to automated decision making and profiling: Since we do not perform this, this is also not applicable.
Objection to data processing: This is only applicable if your data is used for direct marketing but as we do not perform this either this is not applicable.
Right to transparency: You will be informed about the content of this privacy statement via this link, as an attachment to every electronic contact and visibly posted in our offices.
A copy can be sent to you on request.

If you wish to assert 1 or more of these rights please request it in writing with proof of your double Opt-In verification by email and we will respond within 30 days.

Should you disagree with the way we handle your personal data, respect your rights or this privacy statement, please let us know first so we can respond appropriately
